How to manage groups and multiple bookings at a campsite without going crazy

A group of 20 families booking at the same time is a godsend for a campsite... if you know how to manage it. Otherwise, it becomes a nightmare: 20 separate check-ins, confusing payments, and scattered pitches. Here’s how to structure group management.

Groups — extended families, sports associations, parishes, and camper clubs — often represent 15–25% of a campsite’s summer revenue. But they require different management from individual bookings: advance pitch blocking, payment flexibility, and collective check-in.

How to create a group booking in Ovvo Camping

  1. 1Create a 'group' with a name, group leader, and total number of people.
  2. 2Assign pitches to the group: you can select adjacent pitches on the map.
  3. 3Set the group deposit (e.g., 30% of the total, paid by the group leader).
  4. 4Generate an individual booking link for each family in the group: everyone enters their own details, but the pitches are already reserved.
  5. 5At check-in, you can perform collective check-in in a single operation or check in each party individually.
  6. 6Invoicing can be issued as a single invoice to the group leader or separately for each family unit.

Group discounts: how to structure them

Group sizeRecommended discountConditions
5–10 pitches5%Booking made within 60 days
11–20 pitches10%30% deposit within 30 days
21+ pitches15%Written contract, 50% deposit

Always require a written contract for groups of more than 10 pitches, including a graduated cancellation clause. A group that cancels 2 weeks before arrival without a penalty can wipe out a week’s revenue.
